The Privacy Policy determines the principles of gathering and collecting personal data and other anonymous data.
The Privacy Policy applies to mobile applications „WEBCON BPS 2019”, „WEBCON BPS”, applications: „WEBCON BPS Add-In for Outlook” „WEBCON BPS Cloud Portal for Teams”, service „WEBCON BPS Cloud Platform” and websites owned and administrated by WEBCON:

Personal data will be processed in accordance with the Act of 10 May 2018 on the protection of personal data (Journal of Laws of 2018, item 1000) and with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of individuals with regard to with the processing of personal data and on the free movement of such data and repealing Directive 95/46 / EC (general regulation on the protection of personal data) (hereinafter referred to as the “GDPR”).

1. Personal data processing in our websites
As part of the website, the personal data controller gathers and processes the personal data listed below. The provision of personal data is voluntary, although it might be necessary in certain cases to gain access to some functions of the website. A website user is each person visiting the above-mentioned website.
Data controller makes every effort to ensure the privacy and protection of the personal information which is provided when using the data controller’s websites, and, to this end, takes specific measures to prevent the unauthorized interference of third parties with the stored and processed personal data by the following:
- the websites are used via a safe encrypted connection (SSL);
- data are stored at a properly secured servers in the EU;
- access to personal data is determined by appropriate internal procedures on company security.
Despite the security measures applied by WEBCON, every user should follow the principles of security. In order to prevent the account from being used by unauthorized persons, any user should log out when he does not use the website and shouldkeep the login and password confidential and do not disclose them to any third parties.
1.1. Registration account on WEBCON website

Data controller for purposes of registration and the setting up of an account on the company website that enable the user to access detailed information and download a demo version and free version of the product or selected materials published by WEBCON (such as reports, studies, e-books, etc.) collects following information: first and last name, name of the company, e-mail address, telephone number.

1.2. Contact forms and contact by e-mail

Data controller for purposes of answering questions sent by the user via contact forms available on websites collects following information: first and last name, name of the company, e-mail address, telephone number.

Data controller for purposes of registering for events organized by WEBCON, processes the following information: first and last name, name of the company, e-mail address, telephone number, invoice details (name of the company, address, NIP [Tax Identification Number])

1.4. Newsletters and other marketing information
Scope and purpose of personal data processing
Data controller for the purposes of sending commercial and marketing information, such as offers, newsletters, mailings, information and promotional materials about WEBCON products, processes the following information: first and last name, name of the company, e-mail address, telephone number.

1.5. Recruitment process

Data controller for the purposes of the recruitment process, processes the following information: first and last name, experience, , e-mail address, telephone number, other data included by the user in the enclosed application documents (CV, cover letter)

2. WEBCON BPS Cloud Platform
Scope and purpose of personal data processing
Data controller for the purposes of register and create user account and buying subscription of „WEBCON BPS Cloud Platform”, processes the following information: first and last name, name of the company, e-mail address, telephone number, invoice details (name of the company, address, NIP [Tax Identification Number]).

The legal basis for processing personal data in the registration process can be found in article 6 section 1item b) of the GDPR.
2.1. Registration in WEBCON BPS Cloud Platform via Office 365
In case in which an user would like to use the Office 365 account in order to register account in our WEBCON BPS Cloud Platform service, user will be forwarded by a link to the Office 365 website provided by Microsoft (Microsoft Corporation One Microsoft Way Redmond, WA 98052-6399, USA).
Scope and purpose of personal data processing
Using of login via Office 365 account makes linking the user profile toour service. Please note that we have no influence on the data processing of by Microsoft. We are provided by the following information from Microsoft: name, surname, email address. The information is necessary to login by the user to the service and to identify of the user.

2.2. WEBCON BPS Add-In for Outlook
Our Office Add-In for Outlook enables the user to log in to his own WEBCON BPS Cloud Platform account and to use the service in the Outlook window application. We do not have access to user’s personal data and we do not collect information in the Add-In.
2.3. WEBCON BPS Cloud Portal for Teams
By the Add-In for Microsoft Teams user is entitled to have access to his own WEBCON BPS Cloud Platform account and the user is entitled to use the service in the Microsoft Teams application. We do not have access to user’s personal data and we do not collect the information.
3. User’s rights of the data subject
The User has the following rights in connection with the processing of personal data by the Administrator:
- the right to access your data, including obtaining a copy of the data,
- the right to request correction of data,
- the right to delete data (in certain situations),
- the right to lodge a complaint to the supervisory body dealing with the protection of personal data,
- the right to limit data processing.
To the extent that user data is processed on the basis of consent or as part of the service provided (data is necessary to provide the service), the user may additionally exercise the following rights:
- the right to withdraw consent to the extent they are processed on this basis. Withdrawal of consent does not affect the lawfulness of the processing that was carried out on the basis of consent before its withdrawal,
- the right to transfer personal data
To the extent that user data is processed on the basis of the legitimate interest of the administrator, the user may exercise the right to object.

4. Making personal data available to other entities cooperation with WEBCON
WEBCON Sp. z o.o. may make the personal data of users available to selected partners with whom it cooperates within the scope of conducted business activities. Personal data may be transferred particularly as a response to the contact, registration, interest in the products on the part of the user. The list of WEBCON partners is published at the webcon.com website.
WEBCON Sp. z o.o. may make the personal data of users available to selected service providers with whom it cooperates in order to take marketing and analytical measures. The data may be made available only within the scope necessary to perform relevant actions arising from the nature of the business activity.
If participation in a conference, training session or another event is declared, the personal data of users may also be made available to other participants, speakers, co-organizers, hotels and other entities involved in the organization of the event within the scope necessary to perform their tasks.
Due to the global scope of actions conducted by the Controller, the personal data of the users may be transferred to countries outside the European Union.
5. Provision of the websites and services and creation of log files
5.1. Log files (log)
Scope and purpose of data processing
Each time user accesses our websites or services, our system automatically collects data and information from the computer system by which the user has access to website or service.
The following user’s data is collected: information on the browser type and its version, operation system of user, a name of Internet service provider, IP address, the date and time of website and service access, website from which user’s system directs the user to our website or service.
The legitimate interest of the controller is to ensure the website activities or service, to ensure the security of IT systems and the optimalization. Data collected that way are not used for marketing purposes.

5.2. Mobile Analytics
We use mobile analytics software which analyze actions of our applications in order to optimize their action and functionality on users mobile devices. The software may record information such as: how often application is used, events that occur within the application (for instance errors), data concerning efficiency of the application. The data are not linked to any personal data.
6. Cookies
Cookies and other anonymous data
Our websites use the so-called Cookies, that is information saved by servers on the end device (e.g. computer, telephone). Cookies usually include the name of the domain of the website from which they come, the time of their storage on the end device and an unique number.
Cookies may be saved on the end device of the user and then used by external providers of tools that cooperate with WEBCON in order to monitortraffic and activity on the websites.
Types of cookies used:
- “Permanent” cookies remain in the Internet browser of the device until they are deleted by the user or until the period of time pre-defined in the cookies parameters lapses.
- “Session” cookies remain in the browser until it is closed or you log out from the website on which they have been installed.
Cookies are not used for processing or storing personal data; it is not possible to directly identify the user via cookies and they do not introduce configuration changes in the Internet browser and ICT end device.
The cookies technology is used by most advanced websites in order to improve the quality of their operation, particularly:
- to create display statistics for individual content and user behavior on the website,
- to personalize the services provided by the website,
- to keep the users’ sessions open,
- to authenticate the person using the website,
- to provide the users with personalized advertising content.
