This article explains how to create and configure reports in WEBCON Designer Studio and on Portal. You can configure various views for your reports to present data (e.g., use charts, tables). It is also possible to create one report with all tasks, and views for each step.
In this article, you will learn how to:
1) create new reports,
2) set default filters for them,
3) allow users to create private views for the reports,
4) edit the report’s view directly on Portal and save your custom view for later use.
Please note that you can import and export reports alongside the applications they belong to. You can also embed reports on SharePoint sites via Web Parts.
This article explains how to enable the analysis functionality in WEBCON BPS Designer Studio 2020. When you edit a step in Designer Studio, you can open the "Analysis" tab to see how long the instances were staying at a given step and how much time was spent editing them.
Thanks to this, it is possible to check whether some employees spend too much time performing a task assigned to them. This will help you identify bottlenecks in your processes and take steps to bring task execution times in line with the expected parameters (e.g. but making the form more intuitive and adding tooltips).
You can also set the expected time for the instance to stay at a given step and the time that can be spend editing it, giving the employees useful information about the deadlines.
Calculated columns enable you to display additional information in WEBCON BPS reports. They are created by adding a new column in the report and then inserting a SQL formula. They allow the report to be supplemented with additional fields that are not present in an application. A calculated column only works within a given report.
Creating a calculated column: open the report in which you want to add a column, press the settings button, and then go to the "Columns" tab. Then, press the button "Add calculated column."A new column configuration window will be displayed.
WEBCON BPS Portal is a platform that is the central point of the system for end users and contains all information about available applications. One of the advantages of the Portal is the standardization and consistency of the interface between multiple applications. It allows users to easily use the subsequent applications and for people who configure processes, it significantly reduces the time of their preparation. This article describes one of the standard elements of the Portal – the “Suggested”report. The “Suggested” report allows you to quickly find the searched instance based on its current status and form field describing it. Using the “Suggested” report can be very helpful when you are not sure which application the workflow instance is coming from.
Read more>Mass actions allow you to go through the path (and execute the actions that are on it e.g. starting sub-workflows) for many instances at the same time. The article describes the configuration of this action and two examples of use. To change the form field value at the Archive step, select the path (in this example – “_change value”) which redirects to the Archive step. You do not add the action to change the field value. Similarly as before, create a report with instances from the Archive step. Add a new mass action button, select the created technical path and drag the form field from the tree to the left side. Select if the field should be required and make sure that the report has a column called Step!. Drag the button to the left in the Views tab.

Read more>In the latest version of WEBCON BPS, the report coloring has been enhanced for additional functionalities (a description of the basic report coloring modes can be found here). There is the ability to go through a path without having to view the specific instance – just click on a properly configured cell. This configuration also allows you to set the cell style, as well as special display functions. An example that presents the advanced functionality of reports coloring is the process of listing stored products (e.g. bicycle models). Each workflow instance represents a warehouse with the serial numbers of its products.
Read more>In WEBCON BPS 2020 a new functionality of reporting archived instances has been added. In the report configuration of WEBCON BPS Portal and BPS internal view type source, the option to indicate an archived database as a source for the report has been added. The above functionality gives the opportunity to view the report itself. However, if a user does not have the privilege to any of the archived instances, an empty report will be displayed.
