When implementing projects in WEBCON BPS you can facilitate communication between project members via the Team feature in Microsoft Teams. Adding a new Team can be automated by using the WEBCON BPS when registering a new project workflow – you can also use the Microsoft Graph platform. The integration of the project management process with Microsoft Teams can be additionally extended upon e.g. by informing the team members about data updates in the workflow by sending them an e-mail.

WEBCON BPS allows you to generate the Word files that can include data entered on the form. This functionality is useful in various processes such as contracts, vacations, and orders, where it is necessary to submit the document for signature. One of the built-in WEBCON BPS functionalities is the ability to create a vacation process. This process can be generated by using the absence process wizard – you can also present the vacation requests on the Gantt chart. The data needed to create the vacation process is loaded from the typed data source. But when the history of absences is not defined, the data will be loaded from the vacation process. It presents the submitted vacation requests – you can decide that the requests from the selected workflow step will be loaded to the chart, e.g. from the step where the requests approved by the supervisor are stored.

In WEBCON BPS a frequently used function is to generate automatic documents based on DOCX or HTML templates. This article explains how to change the current document template that has been created in the process of document templates. Using the system process that creates a document templates library allows you to easily update the existing printout templates. All you have to do is assign the privileges to a specific user and they can manage their own templates.

If the organization uses the single-on with ADFS and we want the authentication process in the WEBCON BPS application to be “transparent/invisible?” for users or we want to make the application available to users outside the domain – there is an option to register WEBCON BPS Portal in ADFS and enable such authentication. The user has the ability of selecting the method of authentication. If the Azure Active Directory and WEBCON BPS Auth authentication providers are activated in WEBCON BPS, additional buttons will appear here.

WEBCON BPS applications can be made available in several different languages. Users who use Portal and can select one of them – currently six languages are available: Polish (pl-PL), English (en-US), German (de-DE), French (fr-FR), Italian (it-IT), Russian (ru-RU). There is also the ability to create own translation for language which is not available on the list by using WEBCON BPS Translator at https://bpstranslator.webcon.com. With this method, you can turn off any number of languages and leave only the ones you want your users to select.

In WEBCON BPS 2020, a new method of creating translations for data values in picker fields has been added. To simplify the process of translation, you can use data source columns. To create a data source for translation, you can use the functionality of dictionary processes. First create a Dictionary Process from the wizard in Designer Studio. By default, the dictionary process has only three form fields – let’s add additional fields for storing various translations: Name PL, Name EN, Name DE.

The article describes how to install the ABBYY FineReader 11 component. FineReader is a program for converting scanned documents and PDF files into data on the form. It is a cornerstone of the OCR feature in WEBCON BPS. It is also responsible for generating a text layer on the attachments in workflows. Before starting the installation process, creating a folder called “ABBYY” in the WEBCON BPS installation folder is necessary. In WEBCON BPS 2020, the OCR verification view is now also available on MODERN forms. It allows you to enable AI mechanisms in StandAlone installations. The new OCR verification view introduces several additional functionalities (for the MODERN form) such as: copying several words (blocks of text) into the choice, number, and text fields, form rules that allow you to display/hide the “OCR Train” button and the designation of the learning buttons is “remembered” until the learning OCR action is triggered.
