Action templates is a feature that allows you to save a lot of time when implementing processes and reduces the possibility of configuration errors. They allow you to create one global configuration of an action within the process, which can be used anywhere in the workflow without having to configure the action from start each time. Templates are configured within the process, in WEBCON BPS Designer Studio in the “Configuration” section in the “Action templates” tab and click the “New template” button.
WEBCON BPS is used to send e-mail notifications to system users. This allows for communication and the efficient performance of tasks. This functionality is often used in different processes. During configuration, you can block e-mail notifications to the end recipients by using the deployment mode function. The deployment mode function allows you to redirect e-mail notifications to a given e-mail address. This mode is often used in the configuration and test phase of the process to avoid sending the unnecessary notifications to end-users.
Workflows created in WEBCON BPS are built of steps and paths which illustrate the various stages of the business process. When directing an instance to the next step, there is often a need to assign a task to a user or group of users. In some cases you may need to finish a task without waiting for the user to do so – you can use the “Finish all users’ tasks” option available in the administration mode. The administrator’s ability to complete users’ tasks is a very useful function used at every stage of the system’s life.
The search engine is a built-in part of WEBCON BPS Portal. The Search function allows users to find relevant information. WEBCON BPS Portal uses the SOLR search engine. From version 2020 the quick search hint window has been added to WEBCON BPS Portal. The instance search engine is available from every level of the portal. After clicking on the search field
WEBCON BPS has introduced the BPS group mechanism that can replace SharePoint groups and allows you to easily manage and assign the privileges to system users. These groups can be used in Standalone and Cloud installations. Until now, when transferring applications between DEV/TEST/PROD environments, the BPS group must be transferred manually e.g. created again on each of the environments. From version 2020.1.3. the export-import mechanism will also transfer BPS groups along with the application. This article shows an example of such a BPS groups migration.
When working with WEBCON BPS, there is often a need to copy a link to an instance e.g. to send it to another person. If you work in full window mode, the instance can be copied from the URL field in the browser. From version 2020.1.3. you can copy the link to the instance by using the button located in the upper right corner of the preview window. Moving from the report level to the instance displayed in the full window, the address bar will contain the full link along with the returnurl parameter.
In WEBCON BPS version 2020, the support for digital signatures has been enhanced by preparing plugins (SDK – Software development kit) that enable digital signing of documents. The following article describes the process of signing documents by using DocuSign software. The plugin can be installed in any WEBCON BPS installation that uses version 2020 or higher. You must have the DocuSign account (with the ability of using API) and an integration key generated.
The item list is frequently used to store any number of data rows as opposed to other form fields. This functionality makes the actions executed on the item list differ from the standard form field configuration. This article describes the operation of the item list and the configuration of various actions related to them based on the Personnel planning workflow. The application consists of two processes: the dictionary process (with two steps and used to store the document templates) and the main “Personnel planning” process. This process allows you to define the demand for human resources and assign the specific employees to the project with an automatic valuation and generation of the relevant documents.
E-mail notifications are one of the most frequently used methods of informing employees about new tasks in WEBCON BPS system. Sometimes it is difficult to distinguish from which process they were sent, because they have the same sender address. In addition, they often contain all form fields from the form – even those that you would like to avoid being sent outside the system. In such cases, WEBCON BPS offers two simple functionalities – the first one is defining the sender’s shipping address, while the second one allows you to hide the specific form fields in notifications.
Since the introduction of WEBCON BPS Portal, sometimes on the form or on Portal itself , it was possible to observe pop-ups that inform about the error and their identifier. But they very often did not give enough information, even after clicking the button to show details from the event preview. From version 2020.1.3.277, the error description from the event log has been made available in Designer Studio, which contains much more information to help find the cause more efficiently.
